Event & Experience Terms

These Event & Experience Terms ("Terms") govern participation in any CitizenEarth event, workshop, gathering, community experience, volunteer activity, wellness session, expedition, retreat, educational programme, campaign activation, or other in-person or virtual experience organised, hosted, supported, or facilitated by CitizenEarth.

By registering for, attending, participating in, or otherwise engaging with a CitizenEarth event or experience, you agree to be bound by these Terms.

1. SCOPE

These Terms apply to all CitizenEarth experiences, including but not limited to:

  • CitizenEarth Circle gatherings
  • Workshops
  • Talks and speaker sessions
  • Film screenings
  • Volunteer programmes
  • Ambassador programmes
  • Community events
  • Nature walks
  • Outdoor experiences
  • Wellness activities
  • Movement sessions
  • Ice baths
  • Forest bathing sessions
  • Retreats
  • Expeditions
  • Educational programmes
  • Brand activations
  • Partner-hosted experiences

Additional event-specific terms may apply where communicated separately.

2. ELIGIBILITY

Participants must meet any eligibility requirements communicated for a particular event. Certain activities may require:

  • Minimum age requirements
  • Physical fitness requirements
  • Health disclosures
  • Parental consent

CitizenEarth reserves the right to refuse participation where eligibility requirements are not met.

3. REGISTRATION & TICKETS

Event registrations are subject to availability.
CitizenEarth reserves the right to:

  • Approve or decline registrations
  • Limit attendance
  • Verify participant information
  • Cancel registrations where required

Registration confirmation does not guarantee participation where eligibility verification remains pending.

4. PARTICIPANT RESPONSIBILITY

Participants are responsible for:

  • Providing accurate information.
  • Assessing their own suitability for participation.
  • Following event instructions.
  • Arriving on time.
  • Carrying required personal items.
  • Complying with venue rules and safety requirements.

Participants are expected to behave respectfully toward:

  • Other participants
  • Speakers
  • Facilitators
  • Volunteers
  • Staff
  • Venue personnel
5. ASSUMPTION OF RISK

Certain CitizenEarth experiences may involve physical activity, outdoor environments, travel, transportation, changing weather conditions, interaction with wildlife, water-based activities, or other inherent risks.

By participating, you acknowledge and accept that:

  • Participation is voluntary.
  • Certain risks cannot be completely eliminated.
  • You assume responsibility for risks associated with participation.

Such risks may include:

  • Personal injury
  • Illness
  • Allergic reactions
  • Property damage
  • Delayed travel
  • Environmental conditions
  • Accidents beyond CitizenEarth's control

Participation is undertaken at your own risk.

6. HEALTH & MEDICAL RESPONSIBILITY

Participants are responsible for determining whether they are physically, mentally, and medically fit to participate.

CitizenEarth does not provide medical advice.

Participants should consult appropriate healthcare professionals before participating in activities involving physical exertion, exposure to environmental conditions, cold-water immersion, outdoor activity, travel, or other potentially demanding experiences.

Participants agree to disclose relevant medical conditions where specifically requested for safety purposes.

7. SAFETY

CitizenEarth may establish safety protocols for specific events.

Participants agree to follow:

  • Safety instructions
  • Venue guidelines
  • Facilitator directions
  • Emergency procedures

CitizenEarth reserves the right to remove any participant whose behaviour:

  • Creates a safety risk
  • Disrupts the experience
  • Violates community standards
  • Endangers others

No refund or compensation will be owed in such circumstances.

8. PHOTOGRAPHY, FILMING & RECORDING

CitizenEarth may photograph, film, record, interview, or otherwise document events and experiences.

By attending an event, participants acknowledge and agree that their:

  • Name
  • Image
  • Voice
  • Likeness
  • Testimonial
  • Recorded participation

may appear in:

  • CitizenEarth websites
  • Social media platforms
  • Marketing campaigns
  • Films
  • Publications
  • Reports
  • Presentations
  • Educational materials
  • Community communications

without additional compensation unless otherwise agreed in writing. Where legally required, additional consent may be obtained.

9. EVENT CHANGES & CANCELLATIONS

CitizenEarth reserves the right to:

  • Change venues
  • Modify schedules
  • Substitute speakers
  • Adjust programming
  • Reschedule events
  • Cancel events

where necessary due to operational, safety, weather, logistical, legal, or force majeure reasons. CitizenEarth will make reasonable efforts to notify registered participants of significant changes.

10. REFUNDS FOR EVENTS

CitizenEarth invests significant time and resources in planning meaningful experiences, gatherings, workshops, expeditions, and community events. To ensure fairness to all participants and enable responsible event planning, the following policy applies unless otherwise specified for a particular event.

Participant-Initiated Cancellation

Event registrations, participation fees, workshop fees, and ticket purchases are generally non-refundable.

If a registered participant is unable to attend, CitizenEarth may, at its sole discretion, permit:

  • Transfer of registration to another eligible participant;
  • Transfer of fees as event credit toward a future CitizenEarth experience; or
  • Other alternatives specifically communicated for the event.

Any such accommodation is subject to event capacity, operational feasibility, and applicable deadlines.

CitizenEarth-Initiated Cancellation

If CitizenEarth cancels an event and is unable to provide a suitable alternative date, format, or equivalent experience, affected participants may be offered one of the following remedies:

  • A full or partial refund of the event fee paid;
  • Event credit for a future CitizenEarth experience; or
  • Store credit redeemable against CitizenEarth products, services, or experiences.

The applicable option will be communicated based on the nature of the event and circumstances of cancellation.

Participant Expenses

CitizenEarth is not responsible for and will not reimburse any costs incurred independently by participants, including but not limited to:

  • Travel and transportation expenses;
  • Airfare, train, or bus tickets;
  • Accommodation or lodging costs;
  • Visa and passport expenses;
  • Travel insurance;
  • Meals and personal expenses; or
  • Any other third-party bookings or arrangements.

Participants are encouraged to make flexible travel arrangements and obtain appropriate travel insurance where applicable.

11. THIRD-PARTY VENUES & PARTNERS

Certain events may be hosted at third-party venues or conducted in partnership with external organisations.
CitizenEarth is not responsible for:

  • Third-party venue operations
  • Transportation services
  • Accommodation providers
  • Partner-controlled activities

Participants may be subject to additional venue or partner requirements.

12. VOLUNTEERS, CONTRIBUTORS & AMBASSADORS

Participation as a:

  • Volunteer
  • Ambassador
  • Contributor
  • Speaker
  • Community leader
  • Facilitator

does not create:

  • Employment
  • Partnership
  • Joint venture
  • Agency relationship

unless otherwise agreed through a separate written agreement.

13. LIMITATION OF LIABILITY

To the maximum extent permitted by law, CitizenEarth shall not be liable for:

  • Personal injury
  • Property loss
  • Theft
  • Travel disruption
  • Event delays
  • Indirect damages
  • Consequential damages
  • Loss of opportunity
  • Loss of income

arising from participation in an event or experience.

CitizenEarth's total liability shall not exceed the amount paid by the participant for the relevant event.

14. FORCE MAJEURE

CitizenEarth shall not be responsible for delays, cancellations, interruptions, or modifications resulting from circumstances beyond reasonable control, including:

  • Natural disasters
  • Extreme weather
  • Government restrictions
  • Pandemics
  • Transportation disruptions
  • Civil unrest
  • Security concerns
  • Venue closures
  • Utility failures

In such circumstances, CitizenEarth may reschedule, postpone, modify, or cancel an event without liability.

15. GOVERNING LAW

These Terms, and any dispute, claim, controversy, or cause of action arising out of or relating to CitizenEarth, its products, services, events, experiences, memberships, community initiatives, website, or a participant's use of or participation in any CitizenEarth activity, shall be governed by and construed in accordance with the laws of India, without regard to its conflict of law principles.

The parties irrevocably agree that the courts located in New Delhi, India shall have exclusive jurisdiction to hear and determine any dispute, claim, or proceeding arising out of or in connection with these Terms or any CitizenEarth activity.

Each participant expressly submits to the personal and exclusive jurisdiction of such courts and waives any objection based on venue, forum non conveniens, or any similar doctrine. To the fullest extent permitted by applicable law, no claim or cause of action arising out of or relating to these Terms may be brought more than one (1) year after the event giving rise to such claim occurred, failing which such claim shall be permanently barred. CitizenEarth's failure to enforce any provision of these Terms shall not constitute a waiver of any right or remedy available to it under applicable law.
